5 AI Tools to Streamline Your Small Business

Running a small business can be a lot — juggling emails, marketing, customer service, and everything in between. That’s why I’ve started using a handful of AI tools that make life way easier. Whether it’s saving me hours of work or helping me stay organized, these tools have quickly become part of my daily routine. In this post, I’ll walk you through my top 5 favorites, what they do, and how you can use them too. If you’re curious about how AI can actually help (without being super techy), this is for you!

I am using the tools for emails, WordPress blog posts, and YouTube videos primarily right now.

Top 5 I’ve use so far:

    1 | Taja AI

I use Taja AI for descriptions, tags, I use Taja AI to create descriptions, tags, and headlines for my YouTube videos. It can also generate shorts from your longer videos and it can also create thumbnails for your videos. Here’s a useful tip: first, create your video and post it as unlisted. This way, you can obtain the URL to use in Taja AI, which will handle the rest for you.

Using Taja AI is pretty easy. You simply input your video URL, and Taja will connect to your channel, analyze your audience, and create the headline, description, hashtags, speaking script, and chapter markers. You can then hit publish, and it will automatically update your post on YouTube—no need to manually copy and paste anything.

Moreover, Taja AI is proactive. It provides ideas for future videos based on your channel’s performance and what your audience is watching, and you’ll receive emails from them with these suggestions. This keeps you engaged with your audience’s interests.

      2 | Video To Blog

I use VideoToBlog after my video goes through Taja. This tool puts together a blog post for me, something I used to have to do myself. It even suggests picture ideas pulled from the video and shows you where to put them. It really saves me a ton of time!

      3 | Grammarly

I use Grammarly to help me with a grammar check, and you can have it shift your tone to something different, like more inspirational, etc. I also use it for plagiarism checks to see if I have talked about ideas, used AI to write anything, or updated what I’ve written to make sure. I also use a new feature called “Increase the impact of your text.” That sometimes adds a little something I didn’t even think of.

        4 | ChatGPT

I know many people use ChatGPT, but of all the major platforms, I prefer this one the most. Before diving into the larger AI platforms, I clarify what I want to be efficient and not waste energy. I use it to generate ideas and create outlines; sometimes, I take something I’ve written that isn’t quite ready for the spotlight. It helps me improve my writing.

A helpful tip: if the response you get is accurate but sounds too much like an AI or feels overly formal, you can ask it to rewrite it in a more casual or conversational tone. This small shift usually lightens things up and makes them sound more like humans (or at least how I write them).

          5 | One Take

I need to update my thoughts on the OneTake tool. I’ve seen the trailer showcasing its capabilities, and I’ve heard marketing professionals on YouTube praising it, but I haven’t had a chance to use it yet. However, I plan to do so soon.

The basic idea is that you can create a video of yourself discussing a topic you want to share with your audience. The tool will automatically edit the video for you, cutting out the parts that would typically take hours to edit and adding features like transitions.

You could use this tool first, and then follow up with Taja to handle the technical aspects, such as creating headlines and descriptions. This way, you’d end up with a great video with minimal effort—just turn on your phone, switch to selfie mode, and start talking.

            Bottom line…

AI might sound a bit high-tech or intimidating at first, but honestly, these tools have made a huge difference in how I run my business day-to-day. They help me stay organized, save time, and focus on the things that really matter — like growing the business and actually enjoying what I do.

If you’re feeling overwhelmed or just curious about how AI can help, I recommend trying a few of these tools. Start small, see what works for you, and tweak as you go. You don’t need to be a tech wizard to get big benefits — just a little curiosity and willingness to experiment.

Let me know if you try any of these or have other tools you love!
